Key Tips for Getting Sorted

These tips sound dead obvious but it’s amazing how many people admit to working in a state of chaos. Setting a bit of time aside to get sorted will pay off, honestly…!

Organise your files and desk
Buy new files in different colours, green for clients, purple for financial stuff etc.  Replace all tatty worn out folders.  Label up properly.  Having your files labelled smartly instead of hand written in an old felt tip will make you feel more professional and organised.  Use dividers to separate files up if appropriate.  Avoid Miscellaneous – you’ll forget what you put in there!

Use one calendar system
One that works for you – whether this be paper based or electronic.  Synchronise your PC calendar with your mobile devices.  Then just keep one calendar.  I use colour coding for my appointments in Outlook for work to do, meetings, deadlines and personal stuff.  Do you need to take anything with you to a meeting or social event?  Mark it on your calendar ahead of the meeting so you don’t forget.

Make a list and check it twice
Review your to do list every morning and again at the end of the day.  I type my list up and have it divided into three sections – client work, strategy/marketing and personal.  Cross things off as you go and update as needed.  Again, it’s about using a system that works for you, whether it’s a handwritten to do list, a typed one, the task planner in your e-mail or by using a cloud based system you can synchronise with your mobile devices, such as Evernote or Todoist

Tame that e-mail
Callteam MD Lyndsey has a great system for dealing with e-mail.  She sets an out of office reply on her email informing correspondents that she only deals with email at two times during the day and that if their request or message is urgent, she can be contacted via SMS.  That way Lyndsey can close down her email account and get on with work uninterrupted.

If you are a person who can’t bear the thought of not looking at your e-mail try some of these tips for dealing with it quickly so you can get on.  If an email is junk, delete it straightaway (unsubscribe first if necessary).  Create a TO READ folder and put newsletters and other stuff you want to look at later in there, and then make some time to go through it.  If you don’t end up reading these emails after a week or so, maybe you should think about unsubscribing?  If you can reply to an email straightaway with a quick answer, do so.  All other emails requiring action – put them in a folder marked ACTION and make a time in your diary to work your way through them.  Likewise, create a folder called AWAITING RESPONSE to put your sent items where you are awaiting a reply.  That way it will be easy to chase things up rather than rifling through lots of sent items.  Create a simple folder structure and file things away as you have dealt with them – simple being key here – you’ll get muddled up with a complicated system and forget where you put things.  For instance, you might want a sub folder called CLIENTS with a folder for each client and suppliers and so on, whatever works for your business.

Have you thought about setting up rules which will help you to file and follow up on messages?  For example, you can create a rule for messages from a specific sender, which can be flagged for follow-up and moved to a specific folder (such as a client folder).  You can also set up rules that will send alerts to your mobile when you receive an e-mail from a family member or important client.  To do this, just search for Setting Up Rules in the help section of your e-mail account which will give you the guidelines you need.

 If you follow these simple tips, you never know, you might manage that elusive clear inbox we’re all after!

Lyndsey is based in Glasgow and has over a decade of administrative and secretarial experience within both the public and private sectors.  Previous employment led Lyndsey to a Political and Family Law background prior to starting her VA business.  She used the experience she has to support clients in unique ways.

Christmas Office Closure
